Organizer Responsibilities

These are the basic responsibilities of all SAE Organizers. For specific deadlines, please see your meeting's homepage.

Please communicate early and often with your Authors.

  • Notify SAE of your session title and description
  • Notify SAE of accepted, referred or rejected abstracts for your session from SAE
  • Send organizer report forms (ORF) to SAE
  • Invite and receive draft manuscripts from Authors
    • Send draft manuscript to at least three qualified reviewers for review
    • Check review status through online Paper Review Reports
    • Notify authors of approval of papers, changes to be made or rejection
  • Send organizer approval forms (OAF) to SAE (required to publish papers)
  • Send updated ORF to SAE
  • Receive / review draft program copy from SAE
  • Send corrected draft program copy to SAE
  • Receive registration and program information
  • Make hotel/travel arrangements
  • Request and review oral/visual presentation from presenters
  • Receive speaker biography
  • Coordinate session presentations
  • Confirm presenter attendance / notify SAE of status changes
  • Send appreciation letters to participants
